1. How do I register?

Registration will open in May 2012!

There are 4 easy ways to register:

  1. Online: Register securly online by clicking here

2. Am I registered? I didn't get a confirmation.

If you register online, confirmations are automatically sent out to the email you provided during the registration process. If you sent in a registration form by fax, you should receive an email confirmation within two weeks to the email you provided on the form. In either case, if you did not receive a confirmation, it may have been filtered out by your email system. Please contact 817-635-0302 if you have any questions or concerns about your registration status.

3. Where do I get my badge?

You can pick up your badge at show site, at the registration counter located in the Schaumburg Foyer. Early registrants may receive their badge in the mail two weeks prior to the event. For confirmation of your registration you may call 817-635-0302 or 800-576-8788.

4. Why should I pre-register?

You must pre-register in order to take advantage of any early discount rates. If you register after September 7, 2012 you will be charged the regular rate. See the registration page for pricing. Pre-registration will also give you access to important attendee pre-show communications, ensure you get listed on the attendee roster, and streamline your registration approval and badge pick-up on-site.

5. Can I register onsite?

Of course! You may purchase any of the passes directly at show site. Please review all registration policies before making your travel arrangements.

6. I registered and paid for Green Fleet Conference, but I can no longer attend. Can I get a refund?

Requests must be made in writing prior to August 17, 2012. Please forward cancellation letters to Green Fleet Conference, c/o Custom Registration, Inc. 2020 E. Randol Mill Road. Ste 307, Arlington TX 76001. A $75 processing fee will be applied. No refunds or credits will be granted, under any circumstances, after August 17, 2012.

7. Can I transfer my badge to someone else?

Any name changes or transferring of badges may be done upon show management's discretion. Please fax over any changes to 817-277-7616.

8. What do I need to bring to the conference?

You must provide a business card and photo identification on-site for admittance into the conference. We recommend you bring a stack of business cards and a list of your show goals.

9. Where do I stay during the duration of the conference?

The Renaissance Schaumburg Convention Center Hotel is the official hotel of the Green Fleet Conference.  Reservation and travel information can be found here. Book your hotels soon as they fill up quickly and discounts end September 14, 2012!

10. How far is the airport from the hotel?

It is about 20 miles, and approximately a 30-minute drive. Please click here for addresses, maps and directions.

11. Where can I obtain a schedule of events?

12. Can I bring my children to the conference?

The Green Fleet Conference is a trade event designed for fleet professionals, but we encourage you to bring your family along to enjoy the Renaissance Schaumburg Convention Center Hotel.

13. Can I bring my spouse to the conference?

Spouses may attend the event, however we do not have a special spouse pass; regular admission needs to be paid.

14. What is the suggested dress attire?

During the conference dress attire is business casual. We suggest bringing comfortable shoes for the Ride & Drive Event.

15. Do I need to pay to participate in the Ride & Drive?

Vehicle test driving is free to all Green Fleet Conference attendees. However, there is a fee if you would like to supply a vehicle to be tested.  Please visit the Ride & Drive Event page for details.

1. I am interested in exhibiting at the event what do I need to do?

The most important thing is to COMPLETE A SPACE CONTRACT with payment. This show will SELL OUT FAST, and we are unable to hold any space without a complete contract. You may also review the exhibit floorplan. Once we receive your contract, we will call you to discuss your space selection. Space is assigned on a first-come first-served basis in the order contracts are received.

2. What exactly is material handling?

Material handling, often referred to as drayage, is the movement of your freight from the carrier to your booth and then back to the carrier at the close of the show. Freight handling includes unloading your materials, storage at our warehouse for up to 30 days in advance of the show, delivery of the materials to your booth, the handling of empty containers to and from storage, and removal of your material from the booth for reloading onto your outbound carrier.

3. Is there a charge for material handling?

Yes. Material handling charges are computed based on the weight of your materials. The weight is rounded up to the closest hundred pounds (cwt.) and charged according to the rates published in your show service kit. Check your show schedule carefully to determine whether or not overtime charges may apply to your shipment.

4. What are my choices for freight carriers?

For your convenience, the Green Fleet Conference recommends Elite Expo. Representatives from this freight company will be on-site to assist you. Although as an exhibitor, you are free to use whatever carrier you like to transport your materials.

5. Can I carry my own materials in without using the freight handling service?

In most cases, an exhibitor may bring in what can be hand-carried in one trip without the use of the loading dock or hand trucks. Refer to the union jurisdictions in your service kit for specific information regarding your show.

6. I am an exhibitor do I need to register myself and my staff?

YES - Badges will be required for all personnel to enter the exhibit area during move-in, move-out and show hours. Badges must be worn at all times while in the exhibit hall. Exhibitor Badges will only be issued to those working in the booth. Those helping to set-up or to teardown the booth will be given temporary worker badges – which will not be valid during show hours.

7. How many passes do I get with my booth?

Allotment breakdown is as follows:

Each 10x10 booths comes with two complimentary registrations. Sponsors can refer to their sponsorship agreement for additional passes.  Both exhibitors and sponsors can also login to their custom registration page to reference pass quantity.

If you have used your allotment and require additional staff badges, or guest badges, you may purchase those passes at for $395.00 per person.

8. How do I register?

The Green Fleet Conference has set-up on-line customized registration for your convenience!

Your log-in and password, will be sent directly to your contact in a separate email, you can simply register your staff, make any changes, and keep track of your staff badges. If you prefer you may fill out the manual registration form and fax to 817-277-7616. The online registrtion link and manual form can be found on the Service Kit page.

Generally, your login is the contact email provided on your space contract and your password is the zip code.

9. Where do I get my badge?

10. I signed up for an exhibit booth space and need to cancel. Can I get a refund?

Payment is refundable if the Green Fleet Conference is notified in writing postmarked on or before June 29, 2012 less a $200 processing fee. Cancellation policy applies to all exhibiting firms. Failure to appear at the exposition does not release the exhibitor from the responsibility for payment of the full cost of space rented.

11. Can I transfer my badge to someone else?

Yes, exhibit personal can transfer badges. But you must transfer the entire pass - it can not be broken up or transferred mid-show if the badge has already been picked up. You can either transfer the badge using your custom registration link, call 817-635-0302, or inform the registration staff onsite.

12. What do I need to bring to the conference?

You must provide a business card and identification on-site for admittance into the conference. We recommend you bring a stack of business cards and a list of your goals.

13. Will the exhibit hall be open during the seminars?

No. The exhibit hall will be closed during the conference hours. The registered exhibitors who have a badge are welcome to attend the seminars. Review the schedule for more information.

14. Can I bring a vehicle?

Yes. Please call Robert Brown at (248) 601-2005 for more information.

15. How do I get electrical or Internet?

You can order electrical and internet through your Exhibit Service Kit.
